Wedding guest list template: what to track and a free printable
A guest list starts as a list of names and quickly turns into the place where RSVPs, meals, seating and thank-you cards all live. Set it up with the right columns from the start.
The columns worth having
- Name, one guest per row (not one household), so the head count is right.
- Household or address, to know how many invitations to send.
- Side and group, such as family, friends, work.
- RSVP: Yes, No or Waiting.
- Meal choice and any dietary notes.
- Table number.
- Gift and thank-you sent.

Formulas for counting replies
- Guests coming:
=COUNTIF(D:D,"Yes") - Still waiting:
=COUNTIF(D:D,"Waiting") - Vegetarian meals:
=COUNTIFS(D:D,"Yes",E:E,"Vegetarian") - Guests at table 4:
=COUNTIFS(D:D,"Yes",F:F,4)
Tips
- Set an RSVP deadline about four to six weeks before the day, and a reminder date one week after it.
- Agree early on plus-ones and whether to invite children, so the list does not grow by surprise.
- Keep a separate “if numbers allow” list rather than mixing it into the main one.
